About the Role
We are seeking a professional and proactive individual to join our team as a Receptionist and Office Co-ordinator. This role involves being the first point of contact for visitors, along with managing key office tasks to ensure smooth day-to-day operations. You will assist with administrative duties while overseeing certain office functions to support the team and the wider firm.
This is a great opportunity to work in a dynamic environment, balancing client-facing responsibilities with essential office support tasks. The role will be based in the office 5 days per week as a result of responsibilities the role holds.
Key Responsibilities:
Front of House Duties:
- Welcome and assist clients and visitors with professionalism and warmth.
- Manage the reception area, ensuring it remains tidy and organised.
- Direct visitors and incoming enquiries to the appropriate team or individual.
First Response Support:
- Handle initial enquiries from potential family law clients by triaging cases to determine suitability and next steps.
- Accurately log enquiry details and forward them to the Family Team for review
- Provide occasional support for the wider firm’s admin team during quieter reception periods, handling overflow calls and general enquiries.
- Collaborate with the wider admin team to ensure smooth coverage of reception and shared tasks.
- Office Co-Ordinator Responsibilities:
- Manage and order office supplies, including stationery and other consumables.
- Coordinate interview room diaries and assist with appointment setups.
- Organise work-from-home rotas, adjusting for holiday and sickness.
- Coordinate the cleaners and window cleaners to ensure the office remains clean and presentable.
- Handle post and deliveries, ensuring timely distribution within the office.
Other Duties
- Ad hoc assistance with dictation for fee earners across the department.
What We’re Looking For
- Previous experience in a receptionist or administrative role is essential.
- Previous experience in a secretarial role is preferred.
- Strong communication and interpersonal skills, with a professional and approachable manner.
- Be highly organised, with the ability to prioritise multiple tasks and remain calm under pressure in a fast-paced environment.
- Be confident using Microsoft Office applications, including Outlook, Word, PowerPoint, and Excel.
- Be confident in using case management systems and being adaptable to learning alternative systems.
- Communicate clearly and professionally, both in writing and verbally.
- Demonstrate a high level of attention to detail and accuracy in all work.
- Be professional, articulate, and able to build and maintain strong working relationships with colleagues, clients, and external contacts.
- Show a positive, can-do attitude and willingness to take initiative, even with tasks outside your usual remit.
- Be discreet, tactful, and trusted to handle sensitive and confidential information appropriately.
- Demonstrate enthusiasm for supporting others and being part of a high-performing team.
