Job Purpose:

We are looking for a full-time Admin Assistant to join the Crime Team in our Hammersmith office. This role is integral in supporting the Crime Team, providing administrative support and managing reception duties as required. You will be responsible for ensuring efficient day-to-day operations, offering administrative assistance, and ensuring high standards in all tasks. The ideal candidate will be highly organized, able to handle multiple responsibilities, and maintain a calm, professional approach under pressure.

Key Responsibilities:

  • Manage general administrative functions for the Crime Team, including inbound call management, ensuring a high standard of service.
  • Provide comprehensive administrative support, including diary management, meeting coordination, and document preparation.
  • Cover reception duties from 1:30pm each day and covering annual leave, welcoming visitors, answering calls, and managing deliveries.
  • Ensure smooth communication within the team and with external parties, including clients, senior management, and suppliers.
  • Monitor and manage incoming and outgoing correspondence, ensuring it is dealt with professionally and efficiently.
  • Assist in managing case-related documentation, ensuring accurate record-keeping and timely handling of sensitive information.
  • Support ad-hoc administrative tasks and assist senior management when required.

Key Skills and Experience:

  • Proven experience in an administrative role, ideally within a legal or professional services environment.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills, with a professional and calm demeanour.
  • Experience handling confidential information with discretion.
  • Ability to work both independently and as part of a team.

Desirable:

  • Experience in a law firm or legal environment.
  • Familiarity with case management systems (experience with P4W is desirable but not essential).
